Kirklees Council was looking to transform its existing office environment into a modern workplace destination that facilitates hybrid meetings and true collaboration. The Council was looking to achieve consistency for those working at home, in the office or on the road by moving to the Microsoft Teams ecosystem in its 25 onsite meeting spaces and in its Council Chamber.
The Council required support to adopt and launch the Teams platform, ensuring smooth connectivity as people move between home and office working locations and from laptops to meeting rooms, delivering the best experience for all participants.
Within the Council Chamber, the Council wanted to improve efficiency and intelligibility for both live and hybrid debates, making high quality recordings and live streams available to enhance transparency and forge a better relationship with the public
Kirklees Council was on a short timeframe and required its new system to be up and running in just eight weeks.
We conducted a virtual site visit, allowing our team to plan effectively while considering architectural constraints such as concrete floors and thin walls in the Grade II listed building.
We delivered a fully integrated solution for the Teams ecosystem, including 25 Teams Rooms ranging from small spaces to larger boardrooms, as well as a proprietary system in the Council Chamber to record its sessions efficiently and transparently.
For the small and medium meeting spaces of up to 10 people, the hub of the Teams Rooms solution was facilitated by a Crestron Flex Video Conferencing platform, delivering consistency across all meeting spaces.
To enhance the audio, visual and interactive elements for the Council Chamber, we specified and installed a Televic conferencing system, with a bespoke camera integration and Teams connection. The Televic solution improves efficiency by enabling session agendas, live voting, discussion moderation, hybrid collaboration, meeting reports and accessible recordings to take place from the same platform.
Following the installation, we provided extensive user adoption training to launch the Teams platform via two tiers of training, one for end users and one for the IT teams.
We successfully transformed the democratic process for Kirklees Council, and our efforts were highly recognised through our proud win as “Best Government Project of the Year” in the InAVation Awards.
The solution has bridged the gap between what happens in the room and how people watch sessions at home. The streamlined voting methods have made meetings run more smoothly, reduced the time it takes to vote and increased transparency. Votes appear on the screen in real-time, so those in the room and at home can see how their views have been represented.
With the Council actively recruiting, being able to attract talent is crucial. The new meeting room technology has helped this process and allowed the Council to extend the boundary for recruitment, with true hybrid working now being possible.
Our extensive training sessions empowered the IT department and staff to utilise all features effectively, ensuring smooth transitions between home and office setups for enhanced productivity and user experience, ultimately maximising ROI and enhancing business efficiency and transparency.
