Bracknell Forest Council required a new video conferencing solution to update one of its traditional chambers into a multi-purpose space. The room accommodates up to 40 people and required an audio solution to enable participants to speak from their seats. The solution needed to be flexible and scalable to cover several potential chamber layouts whilst remaining simple to use.
The further requirement of allowing Bracknell Forest Council to record and upload recordings, as well as stream to the medium of their choice, needed to be considered carefully within the system and UI design. Privacy and security controls were a top priority for Bracknell Town Council to ensure no breach of sensitive commercial or personal data would occur.
The final challenge was integrating the system into a Microsoft Teams Room platform to allow seamless operation outside of the usual boundaries. It was imperative to maintain a system that the users are familiar with and offers ease of use, whilst supporting the additional complexity of the set up.
A Televic Confidea Flex conference system was specifically designed for the size and flexibility of the space with the acoustics of the chamber acquiring major consideration. A single Crestron Flex Microsoft Teams Rooms with an integrated control system operates all the audio-visual devices from a centralised position, allowing the main speaker to control open or closed discussions at the click of a button.
40 Confidea Flex G4 wireless microphones feed both the Crestron Flex and the award-winning Epiphan Pearl 2 ultimate all-in-one live video production system. Participants can indicate when they wish to speak by pushing a button on the microphone, which sends a notification to the Chairperson via the Confidea Control Centre. The Chairperson has complete control over the operation of each microphone from the 5.2” Full colour touchscreen of the FLEX G4.
The Televic T-Cam camera tracking package is used to track active speakers with a feed into the back Epiphan Pearl system. This gives the council the ability to record, and when required, stream the sessions to the platform of their choice. The cameras have a 15x optical zoom function to hone in on individual speakers in great detail. An AVoIP Lightwear setup sends the required video source to four existing LG screens around the room as well as an overspill display located in the council lobby. Utilising the flexible and feature rich Epiphan kit, Bracknell Forest Council can record, crop and send video streams straight to its YouTube channel.
Bracknell Forest Council uses the chambers for internal meetings and hires the room for private events and conferences. Integrating the Televic Confidea Flex conference system has simplified connectivity for anyone using the space, promoting ease of use and inclusive communication for participants.
Using a single centralised control system offers more authority to the Chairperson for discussions and session recordings.
The system is connected to Microsoft Teams, as well as offering BYOD functionality for platforms such as Zoom, Cisco WebEx and Google Meet, providing Bracknell Town Council with a flexible and reliable hybrid system incorporating all the functionality to make sessions inclusive and productive in an agile space.
